Who this notice covers

This notice covers the SaaS Spartan marketing website and business inquiries submitted through it. It does not replace a written agreement for a client engagement; the signed agreement controls the specific confidentiality, data-handling, and service terms for that work.

Information you choose to provide

The basic contact form may collect your name, work email, company, approximate annual software and AI spend, review driver, and renewal or business context. The form has no document upload. Do not submit invoices, contracts, financial records, passwords, credentials, production data, regulated data, customer records, or payment details.

How the public form works

When you submit the form, the fields you choose to provide are sent to Web3Forms so SaaS Spartan can receive and respond to your inquiry. Web3Forms is the form processor for this submission path. Under Web3Forms’ current legal materials, form submissions may be retained by that provider for up to three years.

Website hosting and fonts

The website is hosted through Cloudflare. A visit may involve technical request information processed by the hosting and network services needed to deliver the pages. The site also requests Google Fonts from Google when the remote stylesheet is available. Those providers describe their own processing in their current notices.

Analytics and lead identification

The current site does not load an optional analytics or lead-identification service, does not ask for analytics consent, and does not use a form submission to identify a website visit.

How information is used

Business-inquiry information is used to reply, determine fit, understand the question you want answered, scope a possible review, and manage an ongoing business conversation. It is not used to sell vendor placement or create fictional case studies. Client data is not submitted to public or consumer AI tools; any AI use involving client data requires written approval and an approved environment.

Engagement documents

A deeper review may involve selected spend exports, invoices, order forms, contracts, renewal dates, seat totals, ownership, aggregated usage, or requirements. The preferred exchange is a client-controlled Microsoft 365, Google Workspace, Box, or approved data room. SaaS Spartan asks for only the evidence tied to the agreed decision and starts with client-prepared exports or aggregates where possible.

Where the client-controlled workspace can hold source material, SaaS Spartan avoids making a separate copy. SaaS Spartan-controlled working copies are deleted within 30 days after final delivery or termination, except for records required by a signed agreement or law. Copies kept in a client-controlled workspace remain subject to the client’s controls; SaaS Spartan does not control those copies. The retention rule for engagement working copies does not change Web3Forms’ separate provider retention period for an inquiry.

Sharing

Inquiry information may be processed by Web3Forms, Cloudflare, Google Fonts when requested by your browser, and the ordinary email or business systems used to receive and answer the inquiry. It may also be disclosed where required by law. Engagement source material should remain in the client-controlled workspace whenever practical. No shared passwords or unrestricted admin access are part of the normal review.

Retention and your rights

Web3Forms may retain public-form submissions for up to three years under its current legal materials. SaaS Spartan may retain inquiry correspondence and business records for as long as reasonably necessary to respond, maintain the relationship, meet contractual duties, or comply with law. You may ask for access to, correction of, or deletion of information held by SaaS Spartan by emailing josh@saaspartan.com. Requests involving a third-party provider may also need to be directed to that provider.
